The Matter Status indicates which point of the workflow a matter is in. DISCO Hold supports a Draft → In Review → Kickback → Open workflow, but any step may be bypassed in order to open a matter. The Matter Status may be changed from the Matters Dashboard (directions in the About the Matters Tab Knowledge Base) and Matter Properties in the Matter User Interface (directions in the Viewing and Modifying a Matter Knowledge Base).
See below for an overview of each status:
Draft
When a matter is in Draft status, this indicates that a matter has been created but that changes are still intended, and the notice is not ready for the attorney’s review. Any custodians that have been added to the matter have not been notified, nor have any holds been placed in source. From here, a matter may be placed into In Review or Open status.
In Review
Once a draft is complete, the creator has the option to place a matter into In Review status, which will trigger a supervisory review. When a matter is placed into In Review status, the attorney associated with the matter will be notified via email that the matter is ready for their review. At this point, no custodians have been notified, nor have any holds placed in source. Any comments may be made by navigating to the right panel on the user interface, and clicking the Comments tab. Individual DISCO Hold users may be alerted by prefacing their username with an ‘@’ symbol. From here, a matter may be placed into Kickback or Open status.
Kickback
Once the shadowing attorney has made any necessary changes and included any necessary comments, they have the option to place the matter into Kickback status. The creator of the matter will be notified via email that the attorney has completed their review. At this point, no custodians have been notified, nor have any holds been placed in source. Once any necessary edits have been made by the matter creator, they may place the matter back into In Review status or they can open the matter.
Open
When a notice and all matter information has been finalized, it may be placed into Open status. When a matter is opened, all public custodians will be sent the matter notice and any associated holds will be placed in source (provided the source is integrated with DISCO Hold — sources outside of DISCO Hold will need to be held manually). Once a matter is opened, it cannot be returned to Draft, In Review, or Kickback status — it can only be moved to Closed status.
Closed
Moving a matter into Closed status will release all custodians from the matter and remove any holds on source material. When changing to Closed, the user will be prompted to select an email subject and template (though this template may still be edited). By default, public custodians will be notified of the matter closure, however the user may deselect this option and no custodians will be notified. Once a matter is Closed, its status can only be changed to Reopen.
Reopen
A closed matter may be reopened by placing it into Reopen status. The selected matter will remain closed, but an identical copy of the matter will be created and placed in Draft status. All notices and logs associated with the closed matter will be available in the Reopened matter.
