You may use the Matter User Interface to view all information about a matter. To access the Matter User Interface, navigate to the Matters tab and click on the Name of the Matter you would like to make changes to. On the left side of the screen is the Notice Library, featuring a timeline of all notices that have been issued in the matter (including any release notices). On the right side of the screen are four tabs: Matter Properties, Custodians, Comments, and Log.
Notice Library
Notice entries will be displayed in reverse chronological order, with the most recently sent notice at the top of the list. Notices may be viewed in full by clicking the Show Notice button and can be minimized by clicking the Hide Notice button on the lower right side of the notice entry. Notices (including any attachments) may be downloaded by clicking the icon, while a list of notice recipients may be viewed and downloaded by clicking the
icon.
Matter Properties
The Matter Properties tab is the screen where many aspects of the matter may be viewed and edited. The status of a matter may be changed by clicking the Change Status button at the top of the panel, while clicking the Edit button will display a screen with fields available to edit. Note that matters in Draft mode are fully editable, while matters in Open status have fewer available fields to edit. Once a matter is opened, several properties are solidified and cannot be changed. Matters in Closed status will not have the Edit button available. To view definitions of key fields, please see the Creating a Matter Knowledge Base.
Some information in the Matter Properties panel is linked to the notice itself and so will change depending upon which notice is active (e.g. which notice is currently expanded in the notice timeline). Such information includes Email Subject, Template, Reminder, Acknowledgment information, and any Questionnaires associated with that notice.
Custodians
The Custodians tab shows the total number of custodians included in the matter. It also contains analytics regarding how many public custodians have been sent a notice, acknowledged a notice, and completed associated questionnaires. The analytics are notice-specific and will reflect the notice that has been most recently expanded in the Notice Library timeline.
More granular detail is available by clicking View All, located just under Total Custodians. This will launch the Custodians Dashboard.
Comments
The Comments tab is where any comments may be added. To call out a specific user, preface their username with an ‘@’ symbol and select them from the list that pops up. The system will automatically insert the user’s email address and they will be notified via email that they have a comment waiting to be viewed. The matter creator will automatically be notified via email of comments that have been added to the matter.
Clicking Reply on a comment will open a secondary text box in order to enter a comment. The original comment creator, any individual users that have been called out, and the matter creator will be notified via email that a comment is waiting.
Log
The Log tab allows users to see all actions taken on the matter (including field changes, custodian information, and comments) tracked by date and actor. The log may be exported into a CSV file by clicking Export Log.
